Reserve the actual space and the time needed to furnish it
Las Cruces' current permit directory directs downtown event applicants to discuss the proposal with Downtown staff, select a location and submit a site plan. The process distinguishes events involving street closures or alcohol and identifies traffic-control and Main Street stakeholder documents where applicable.
Describe the full furniture operation in that first discussion. Identify the truck arrival, unloading space, assembly activity and when the area will be ready for guests. The requested event hours alone may not represent the time needed to place tables and remove them afterward.
Ask staff for the current base map and confirm the street section or plaza area being reserved. Main Street, Plaza Place and the smaller connecting spaces are not interchangeable delivery locations. Give the carrier an agreed receiving point and a contact who can explain which section the order serves.
If neighboring businesses will stay open, show a clear route to their entrances while furniture is unloaded. For an event spanning several blocks or spaces, label equipment by destination so the crew does not use an active storefront as a sorting area.

The application also includes locations for entrances, exits, sanitation, waste collection and traffic control. Incorporate those support functions into the first furniture layout. A guest capacity calculation that uses the whole reserved area will overstate the usable seating if it leaves no room for the event's operating needs.
For reusable event inventory, compare table shapes against the actual reserved geometry. Smaller movable groups may adapt more readily to a plaza edge or narrow connecting space, while longer rows may suit a different street section. Keep the final choice tied to the reviewed layout and specify how the furniture will be cleared without crossing active guest areas.
